DEACONS NOTES
REMEMBER THE FIRST SUNDAY IS COMMUNION AND IT IS THE JOB OF THE HEADDEACON TO PREPARE COMMUNION.
The Deacon chairman should phone each HEAD deacon a few days before the month they are on duty, The head deacon should then phone their assistant to remind them of their responsibilities .
DUTIES OF HEAD DEACON
1.Be at the church 40 minutes before the service.
2.Open the Sanctuary Doors on both sides of Sanctuary.
3.Turn on the Sanctuary lights
4.Turn on the light for the Memorial Book Stand
5.Light the candles on the communion table and turn on the scones behind the communion table. (Matches are in Sharla’s mailbox cubby in secretary’s office. The scones are electric with a off/on switch close to the top of the sconce.)
6.Make sure the offering plates are on the stands up front. (Find a total of 4 people to take offering.)On the week’s where there are two offerings, we also use the dark wooden plates that are stored under the lectern in the fellowship hall. Don’t bring those 4 plates up front. We will need them in the back of the Sanctuary for the second offering.
7.Check the bulletin for special occasion needs (Baptism, second offering, etc)
8. AT 9:30 close the Sanctuary doors and the sliding door between the Sanctuary and Fellowship Hall.
9.Take attendance and record it in the notes book on the top shelf of the closet on the other side of the wall from the sound system. (Inside in the corner of the Fellowship Hall)
10. During the last Hymn open the sliding doors to the Fellowship Hall and open the Sactuary doors.
11. After the Service put out the candles , shut off the lights up front ,turn out the light to the Memorial Book, put a few bulletins above the paper towl rack in the kitchen and throw away any bulletins that are left in the pews.
GENERAL DUTIES OF HEAD AND ASSISTANT DEACON
1. Assistant Deacons should be at the church 30 minutes early.
2.Both deacons will hand out bulletins at the doors and see to any special needs of people.Greet the people and make them feel welcome.
3.We have large print hymnals and bulletins. See that people who need them (Ruth Durst,Adeline Schipper,Ruby Kummerfeldt) receive them.
4.Hand out Children’s Bulletins. There are pencils in the pews or there are usually a few pencils in the wicker basket under the table next to the sound system.
5.If there is a special occasion (Baptism, confirmation, etc) be sure that the participants and family members are seated at the front of the church.
6.Ushers should be alert-if anyone leaves the Sanctuary make sure they do not need assistance.
7.If someone needs medical attention the usher should summon assistance.
Notes for Lakeside Service from 2007
·Breakfast was at 8:00 and church at 9:30
( would have been better for breakfast.)
·We served approx. 75 people.(90 the year before)
·We ordered 10 pizzas and 8 would have been enough. (bacon or sausage breakfast pizza)
·We ordered a case (6) large cans of Dole’s Tropical Fruit Salad. We added a few grapes and bananas.
We also used one large carton of vanilla (not plain but vanilla) yogurt with 6 tablespoons of honey mixed with the yogurt and poured over the drained fruit. We did that the morning of the breakfast.4 cans would have been plenty.
·We got 1 gallon of milk and didn’t use it all.We did not buy orange juice this year but offered everyone a Hi C orange juice box.(had 80 boxes and had a lot left over but donated it to VBS)
·We used the 55cup coffee maker. We should have had another 15-20 cups.
·One bag of ice and gallon water
·We asked each Deacon to bring a Non sticky coffee cake or a dozen donuts.
·We used paper plates, styrofoam coffee cups, clear plastic 6 oz punch cups for fruit, napkins, plastic spoons and forks and a few knives, disposable gloves to serve the pizza.
·We need several cake spatulas, pizza cutter,4 or 5 knives, 3 large slotted spoons couple coffee carafes, a pitcher for water
·Pail, rags to wipe off table and to wash and dry dishes, three or 4 trash bags, several containers to divide up left overs if there are any. A couple mid size cardboard boxes comes in handy.
·At least (2) 50 ft. extension cords
For the Church Service.
·Be sure the church bulletins are at the Lake. Hand them out before the service. Watch for late comers to make sure they have a bulletin. There should be approx. 95 bulletins printed.
·Be sure 4 offering plates are there. Or it would be a good idea to come up with offering “buckets” with lids as the wind makes it difficult to take collection. We need something to take the free will offering for the breakfast.
·Check with Worship and Music chairman to see if they plan to bring podium to the Lake for the Pastor to use.
·Attendance at Church was approx. 90.
Time Table:
·Jan 4—reserve the Lodge for Fathers Day—be sure the Treasurer gets a check to them once you receive the acknowledgement in the mail. They will not reserve it until after Jan 1.
·3-4 weeks before be sure that Casey’s would like to do the pizzas.
·3-4 weeks order anything that the Grocery Store would not normally stock. (Dole Tropical Fruit Salad, special kind of sausage if we ever decided on making an eggbake , etc. )
·Generally a couple weeks before Fathers Day United has the 10 packs of Hi-C juice boxes for $2 so watch for that.
·4 weeks ahead call Wells Blue Bunny or contact Jamie Sage and see if we could get milk and chocolate milk boxes instead of juice boxes.
·3 weeks ahead make sure we have all the paper supplies on hand—or buy more.
·3 weeks ahead -If you intend to invite the campers, decide how and when that will be done.
·If it is an especially bad fly year, ask the County to spray for bugs in the Lodge early that morning or the night before.
