Guidelines for Church Secretary

This position involves multi-tasking and the ability to stay organized.  It requires a high degree of efficiency, adaptability, and a great attitude.

SCHEDULE

The secretary’s schedule shall be from 9:00 a.m. to 1:00 a.m. Monday through Friday.  This schedule is to be printed in the newsletter.

The following are paid holidays unless the holiday falls on Saturday or Sunday:  New Year’s Day, Thanksgiving Day, Friday after Thanksgiving Day, Christmas Eve, Christmas Day, and Fourth of July.

After the first year, the secretary shall have five days paid vacation per calendar year.

RESPONSIBILITIES

The secretary is responsible for:

·        picking up mail at the post office daily except on Saturday, Sunday and holidays

·        typing, printing, and folding Sunday bulletins

·        typing, printing, folding, and mailing the church newsletter including a monthly calendar

·        typing and/or duplicating letters, minutes, agendas, etc. that pertain to the  function of Pine Tree Church

·        corresponding on behalf of the church as directed by the pastor, session, session clerk, session members, treasurer, CPWM president and Sunday School teachers

·        answering church phone and checking and answering church email

·        presenting requests for use of church facilities to church session for approval at session meeting.

·        Providing phone number of church wedding coordinator to person requesting use of church for wedding so wedding coordinator can meet with bride and groom to discuss wedding guidelines.

·        checking the guest register on Monday and mail appropriate cards or letters to all visitors.  She will also give a list of visitors with addresses, phone number, and other pertinent information to the Pastor

·        accept additional responsibilities as assigned

SKILLS

            Since the church secretary’s responsibilities include varied duties requiring a good degree of initiatives and skills, necessary skills include:

·        Computer word processing skills (Microsoft Office) and the ability to use the computer to do bulletins, directories, labels, PowerPoint presentations, etc

·        familiarity with office equipment

·        excellent organizational skills to keep track of various schedules, inventories, and lists

·        filing and correspondence skills

WORKING MODE

            Since everything that leaves the church office is a reflection upon Pine Tree Cumberland Presbyterian Church and upon the Lord Jesus Christ, materials which go to the public, to the congregation at large, or to the permanent record shall be done with excellence.

            This is a church office and the secretary is using it as her office; however, as it is a church office, any member of the church may use it as needed.  The computer, copy machine and all other office equipment belong to the membership of the church.  To use this equipment, the secretary and any member of the church must be approved by the session.  A list of those designated will be kept and updated by the session clerk.

The nature of this position requires the utmost discretion and a perfect understanding of the necessity for confidentiality to be maintained.  Thus, all information passing through the church secretary’s hands is to be kept confidential.

The secretary is to look to the pastor for supervision.  In the absence of the pastor, the secretary shall contact a member of the session.
